There are several reports under the Reports tab in the Schedulicity dashboard that you can use to get a wide variety of information. Nearly all of these reports can be exported to Excel or printed, which you can do by following these steps:

  1. Go to Reports (by clicking on the three blue lines on the top left)
  2. Scroll to the report of choice and select it from the list
  3. Here, you can either select a time frame (day, week, month) or select your own custom time frame for the report in question. In the case of some reports, you can also select the provider you wish to focus on as well
  4. From here, you can click on the "print" button to print the report, or "export to Excel" to save the report as a spreadsheet

Schedule-Based Reports

Schedule By Provider

The Schedule by Provider report is the fastest way to access a list view of a provider's schedule. Essentially you can filter the report by provider and date range and it will display their upcoming or past schedule. All appointments, classes, workshops and personal time will display on this report, as well as if there was a substitute instructor. It also will list the client's name next to the service or class, and you can jump right over to their profile if you need to! Their phone number will be listed for convenience or if you need to call the client on the fly!

You can print or export this report to Excel. The Excel version of the report will be the best way to view all appointment notes, so be sure to export that if you would like to view notes as well.

You can view your schedule for one year at a time, so if you need 2014-2016, just run 2014-2015 first and then 2015-2016 second.

Agenda View

The Agenda View report is perfect to run if you would like to view all of your providers' schedules for a specific date range. In an easy to read list view, this report will list all appointments, classes, workshops, any substitute instructors, and personal time as well as calling out any no-shows. This report displays all of the essential details you need to know for a schedule, and you can run it for upcoming appointments or for anything in the past.  

Keep in mind, you can view the schedule for one year at a time, so if you need 2014-2016, just run 2014-2015 first and then 2015-2016 second. You can print or export this report to Excel. The Excel version of the report will be the best way to view all appointment notes, so be sure to export that if you would like to view notes as well.

Class Attendance

This is a great report that will allow you to view class attendance, which of your clients are enrolled, if they checked in (if you are tracking that), or if they were a no show. You can print this or export this report to Excel.

Workshop Attendance

The Workshop attendance report displays some handy information and will allow you to view your workshop attendance at a glance. It will list which clients are enrolled, if they checked in, or if they were a no show. You can print this report out, or you can export it over to Excel if you would like to keep it for your records!

Cancellations

The cancellation report is a fantastic way to keep track of your canceled appointments based on a date range. This report highlights which appointments were canceled and by whom (the client or the business.) You will notice that all appointment details are listed including the date, time, and the person who originally booked the appointment, and then of course who canceled the appointment. You can pull this report by heading over to Reports and then choose Cancellations.

Booking Activity

To check out some quick stats on your business check out the Booking activity report. This report lists all of the clients who scheduled with you based on the time frame that you select. You can then view how many online bookings you had versus how many appointments your business booked for your clients, along with the grand total. It will also list how many no shows you had for that given time frame.

Client-Based Reports

New Client Bookings

 A list of your new client appointments will be shown on this report in accordance with the date range selected. The list is ordered by the day the new client first scheduled an appointment or registered for an appointment/class. The report includes the service/class offered, the service provider, the client’s name, and the client’s phone and email address. The ability to access the client’s profile from the report is available in the case that more information is needed. The color of the appointment is included as well. Any client records that have been deleted will display with a strikethrough on the report. You have the ability to print or export this report to Excel.

Clients by City

This report shows client information according to the city that is listed in their profile information. You can select a specific city from a dropdown menu to see all clients who are associated with that city. The client's name, city, state, zip code, and email address are displayed in this report, and the option is available to navigate to the client's profile. You also have the ability to print and export this report to Excel.

Clients by Tag

You can run a report by specifying a specific tag assigned to client records. Client contact information displays including name, address, phone number, and email address. The ability to access the client’s profile from the report is available in the case that more information is needed. You can print or export the report to Excel.

Client Bookings

This report shows an overall appointment/class attendance throughout the business during a specified timeframe. It includes both appointments created by clients as well as those appointments created within the store. Each of these categories is broken down. The total numbers of appointments are listed as well as the number of No-shows. This does not include cancellations. You have the ability to print this report.

Problem Email Addresses

This is a list of clients who were sent email messages that bounced back or were undeliverable. The report has two lists of clients whose emails are problematic: "Verify email addresses," in which the last attempt to deliver an email to these addresses failed or bounced and “Stop sending addresses,” in which the last 5 attempts to deliver an email to these addresses have failed or bounced. 

In the case of “Stop sending addresses,” the program has stopped sending emails to these addresses until the client’s email is verified and updated. 

If you notice an email address that is simply misspelled, you are able to access the client’s profile to update and verify the client’s email address. You are able to print and export this report to Excel.

Clients by Provider

This report can be filtered by active provider and includes the client's first name, middle name, last name, address, email, phone, and date of birth. This information is displayed on the report and print view. The user is able to export the report which includes the client's first name, middle name, last name, address, email, phone, date of birth, client notes, client tags, date created, and date last seen. The print and report keep the selected provider. Only clients with standing past appointments, are included in the list. If a client's appointments were cancelled or no-showed, the client does not display on the list. 

Payment Reports

Sales Summary Report (coming back soon!)

The Sales Summary report is a super handy breakdown of gross sales, net sales, discounts, fees, refunds, taxes, gratuity—all neatly organized for your records. With the ability to filter by provider as well as date range, this report is here to help you keep tabs on business trends, giving you all the ins and outs of your sales. 

Product Management

The Product Management report is designed to give you a bird's eye view on your inventory and sales at any given time. This report includes a listing of your products by name, the amount of items in stock (including negative integers in case you have items on backorder for your clients), the total cost of the item, the total price of the item listed for sale, the tax included per item, as well as the overall sales price of the items in stock itself. You are able to print or export this report to Excel.

Estimated Revenue

The estimated revenue report is just that, it just gives you an idea of your sales per provider, for the given period of time you run the report. This report is based on the the amount that the service is listed for under the client's appointment details. We do take into account any discounts and price changes associated with a service or class. We also list any add ons that you may have sold for that given time frame. Please do keep in mind, this is an estimate and we also recommend that you use your other resources for exact data in the event you charged an individual a different amount than listed in the appointment details!

Other Reports

Service Popularity

This report is a list of your most popular services scheduled according to a specific timeframe. The services are broken out into those scheduled online and those scheduled in-store with the total appointments scheduled listed. You are also able to expand the services to see which clients have scheduled the service listed and how many appointments were scheduled online and in-store. The ability to access the client’s profile from the report is available in the case that more information is needed. This report does not include cancellations. You are able to print or export this report to Excel.

Class Popularity

This report shows just that! It allows you to view how popular a class is and the clients enrolled in each session. You can filter by day of the week, time, class, instructor, and also date range - pretty nifty! The report will show the client's name, the enrollment count, the checked in count, and the no-show count. You are able to print or export this report to Excel.

Workshop Popularity

This report allows you to see clients who enrolled in all or selected workshops within a particular date range so that you can see which workshops were attended most often and which providers/sessions see the most clients. You can filter by date range. The report will show the workshops session details, the provider tied to the session, the enrollment count, the checked in count, the no-show count, the capacity of the workshop and the fill percentage. You are able to print or export this report to Excel.

Promotion Popularity

This is a list of the most popular promotions within a given time frame that were reserved with an appointment. Each promotion is listed with the number of attached appointments within the time frame selected. You are able to print this report.

Promotion Performance

This is a list of every promotion available on the Schedulicity account including Add-ons, Deal Manager, and Fill My Book deals. This report includes the date the promotion was claimed (booked), the client name, phone number, email, and the appointment/class date. You are able to print or export this report to Excel.

Package Popularity

This is a list of the most popular packages within a given time frame that were added to a client’s profile. Each package is listed with the number of clients who had packages added within the time frame selected. You are able to print this report.

Additional Reporting within Your Account

Recorded Revenue Report

The Recorded Revenue Report is a great way to track and manage all the payments you’ve collected through your Schedulicity account. You can use the bird’s eye view of your transactions to get a sense of how much you’ve charged, and drill into any specific payments if you want to check out the details. The exported version even has a call out specifically for gratuity, so you can see how much you’ve made in tips for the month!

To view your Recorded Revenue Report:

  1. Navigate to the Settings tab in the Schedulicity dashboard
  2. Open the Payments page
  3. Select your date range, confirmation number or tender type if you want
  4. In the right-hand corner of the Transactions box choose 'Export to Excel'
  5. The list will download to your browser, and you can also open your Excel revenue report!

Complete Client List

The Complete Client List is a handy way to pull up a specific client you're looking for or view your clients all at once. You can access it by clicking the three blue lines in the upper left and selecting "Clients." 

If you are the account owner, you will notice that you have an option to print or export the list as well as scrolling through it: 

  1. Navigate to Clients tab in the Schedulicity dashboard
  2. In the top right-hand corner choose 'Export to Excel'
  3. The list will download to your browser, but you can also access this in your download folder.
  4. Open your excel complete client list!
