How do I set up my Automated Marketing emails and when are they sent?

Automated emails, birthday email, time to book email, thank you email, re-engagement email

Who doesn't love getting mail?! With our Automated Marketing feature, you can set up automated email messages that flow out to your clients based on their booking activity and their birthday. To access these automated emails, you'll want to make sure you have the Unlimited Plan enabled 👌

We offer Birthday, Thank You, Time to Book and Re-engagement emails—you can pick and choose which of these emails is best for your business, or use them all! You'll also have the option to set any of these messages to 'pause' which will save all your settings, and will stop sending out the messages to your clients until you're ready to switch them back to 'run'.

💡 Pro tip: If your clients use our scheduling app (which they should, it's amazing), they can opt-in to receive push notifications. Then, you have the option of whether or not you'd like your automated messages to go out just as emails or as emails and push notifications. Whoa!

Let's chat through how to get those automated messages set up, and how they work!

Birthday Emails

These messages will go out on the first of the month active clients who have a birthday in that month. Birthday push notifications are sent at 8 a.m. MST that same day. Your clients have until the end of the month to use your birthday discount, and they can book up to a full year out.

To set this up:

  1. Go to Marketing and click on the "Email Marketing" tile

  2. Click into the "Birthday" tab and click on the "Message Settings" button

  3. Choose a fun birthday template for your email, and draft up your message!

  4. If you'd like to offer clients a little gift for their birthday, use "Discount Type" and "Discount Amount" to set up what you'd like that discount to be

  5. Click the "Save & Continue" button to save your settings

  6. If you'd like clients with our client app to get push notifications when that message goes out to them, check the box beside "Use Schedulicity App Notifications"

💡 Pro tip: Should you opt to offer a discount and the client books it, you will see the deal details on the appointment or class details like you normally would with a booked deal.

Thank You emails

Thank you messages will go out to your clients 24 hours after their appointments. These are a great way to encourage them to book their next visit, provide after-care instructions, or just say "Thanks!"

To set this up:

  1. Go to Marketing and click on the "Email Marketing" tile

  2. Click into the "Thank You" tab and click on the "Message Settings" button

  3. Choose a fun template for your email, and draft up your message

  4. Click the "Save & Continue" button to save your settings

  5. If you'd like for these messages to only go out to new clients who book with you, check the box beside "Only send thank you emails to new clients"


Time to Book emails

These messages will go out on a set weekly interval that you choose—it's a great way to get your clients booking regularly, keeping your schedule full!

Time to Book emails are sent every Sunday at 1 a.m. MST based on the timeframe you set. Time to book push notifications are sent at 8 a.m. MST the same day. These go out to clients if they haven't booked in the time frame you've selected.

For example, if your time-frame is 4 weeks, clients who haven't booked in 5 weeks, will not receive the message (as they would have received the message the week before). Don't worry, if they already have an appointment, they won't receive the message.

To set this up:

  1. Go to Marketing and click on the "Email Marketing" tile

  2. Click into the "Time to Book" tab and click on the "Message Settings" button

  3. Choose a fun template for your email, and draft up your message!

  4. Choose the interval you'd like those messages to go out on

  5. Click the "Save & Continue" button to save your settings

  6. If you'd like clients with our client app to get push notifications when that message goes out to them, check the box beside "Use Schedulicity App Notifications"


Re-engagement emails

These messages will go out to active clients that haven't booked with you for 6 months, and you'll be able to encourage them to schedule by including a little gift! Your clients have up to two weeks to use your re-engagement discount, and they can book up to a full year out.

Re-engagement emails are sent the 1st of the month at 1 a.m. MST. Re-engagement push notifications are sent at 8 a.m. MST the same day. Clients will only receive this message if they haven't booked with you in 6 months.

For example, if a client hasn't booked with you in 7 months, they would not receive the message (as they would have received the message the month before). Don't worry, if they already have an appointment, they won't receive the message.

To set this up:

  1. Go to Marketing and click on the "Email Marketing" tile

  2. Click into the "Re-engagement" tab and click on the "Message Settings" button

  3. Choose a fun template for your email, and draft up your message!

  4. If you'd like to offer clients a little gift for their birthday, use "Discount Type" and "Discount Amount" to set up what you'd like that discount to be

  5. Click the "Save & Continue" button to save your settings

  6. If you'd like clients with our client app to get push notifications when that message goes out to them, check the box beside "Use Schedulicity App Notifications"


Email analytics

You'll be able to see exactly how well your marketing is working! All your emails will have performance trackers with a monthly and yearly book rate. We'll also sent you a weekly email, summarizing your automated message performance.
