Whether you need to change your or a provider’s weekly availability, a single day’s shift, or mark some time off, you’ve come to the right place!

How do I update my recurring weekly availability?

To change up your or your provider’s recurring weekly availability, let’s head directly to the provider profile to get that updated. Only the admin on the account can make these changes, so if you’re a provider, please send these steps to your admin to get your schedule updated:

  1. Go to Settings and click on the “Providers/Instructors” tile

  2. Click on the provider name in the list

  3. Select the “Schedule” tab

  4. Click “Edit” in the Schedule box

  5. Enter the scheduled hours for each day of the week

This will adjust what is displayed to clients as available days and times when booking online. On the business side, you can always book outside of your business hours if you want!

💡 Pro Tip: If you need to create any breaks in the middle of the day, you can use recurring personal time on the calendar. The recurring personal time option is a great way to create a split schedule too! Just set your work schedule to open at the start of your early shift and close at the end of your late shift, and then add a block of recurring personal time to schedule the blackout period in the middle of your day.


How do I mark time off in my calendar?

If you or one of your providers need to step away for a bit or have a vacation planned, we’ve got you covered. You can easily mark yourself or your providers out by adding specific days off on their profiles:

  1. From Settings, go to the “Providers/Instructors” tile

  2. Select the provider name from the list

  3. Go to the Schedule tab

  4. To the right of the “Planned Days Off” header, select the “Add” button

  5. Then select the dates you’d like off right from that mini calendar. Those days will turn purple, so you know they’re selected.

  6. Be sure to click “Add Days Off” your changes to apply these days off

Once you’ve added these days off, clients cannot book appointments while you or your providers are unavailable. This gives you peace of mind as you plan your time off!


How do I create a future schedule?

If you or one of your providers has a schedule change starting on a specific date, you can set that up as a future work schedule. This is especially handy if your hours change seasonally or if you are expecting any upcoming changes in scheduling in general. Here’s how to set it up:

  1. Go to Settings and click on the “Providers/Instructors” tile

  2. Select the service provider whose schedule you would like to add the future schedule to

  3. Click over to the Schedule tab

  4. Select the “Add” button beside the “Future Schedule”

  5. Pick the date on which you’d like the new schedule to start

  6. Enter the start and end times for the days you will be available

  7. Save your changes by clicking “Add Future Schedule”!

The new schedule will start as soon as the future date is reached. You can create multiple future schedules if your availability changes yet again, which makes it a great tool if you like to plan ahead! 📆


How do I change my work schedule for a specific day?

If you ever need to update a specific day on your calendar, instead of changing your set recurring schedule, you can do this directly from your Appointment Calendar:

  1. Open your Appointment Calendar, and you’ll find a gear icon at the top right corner of the screen. You can use this to edit your schedule on the fly or adjust one day in particular!

  2. Click on the gear icon in the upper right to adjust the start/end time of your days—then click directly on the time to select when your start or end time will be. Toggle the day to purple if you’re in, and toggle it to grey if you’re fully out.

  3. Hitting save will immediately adjust your work schedule for only those days you have edited.

🌟 It’s important to note that any changes you make directly on the calendar in this way will override your recurring schedule, which is set up under Settings. For instance, if you close out a weekend for your birthday and then later specify within your recurring schedule that you work Saturdays, your birthday weekend will still be marked as “out.”


What if my schedule doesn’t change?

If you have just updated your recurring work schedule under Settings and you are noticing the appointment calendar is not reflecting those changes, it's likely those specific days were adjusted on the fly right from the appointment calendar.

💡 Pro Tip: If a day is edited through the calendar and the default work schedule is changed, the initial schedule changes from the calendar override any changes later made to the work schedule. This is because the system assumes that you wanted those specific days edited, so it doesn’t adjust them once you change your schedule.

To fix this, these days will need to be edited from within the appointment calendar again to trigger that change.
