How do I set up Automated Marketing emails, and when do they send?

πŸ“« Automated Marketing allows you to set up automated marketing messages that flow to clients based on their booking activity and their birthday!

Schedulicity offers Birthday, Thank You, Time to Book and Re-engagement emailsβ€”you can pick and choose which of these options are best for your business or use them all!

πŸŽ‰ Birthday Emails

Send on the first of the month to active clients, who have a birthday in that month. Birthday push notifications are sent at 8 a.m. MST that same day. Clients have til the end of the month to use a birthday discount. They can book up to a full year out.

To set this up:

  1. Head to Marketing and click on Email Marketing

  2. Click on the Birthday tab -> Message Settings button

  3. Choose a template and draft your message

  4. If you want, offer clients a discount for their birthday, use Discount Type and Discount Amount to set that up

  5. Click Save & Continue to save your settings

  6. If you'd like clients with the client app to get push notifications when the message sends -> check Use Schedulicity App Notifications

πŸ’‘ Pro tip: If you offer a discount and the client books it, you will see the deal details on the appointment or class details.


🀝 Thank You emails

Thank you emails go out to your clients 24 hours after their appointment.

  • These are a great way to encourage them to book their next visit, provide after-care instructions or just say "Thanks!"

  • You can opt to only send after their first booking or after every appointment.

To set up:

  1. From, Marketing click on Email Marketing

  2. Click the Thank You tab -> click on the Message Settings button

  3. Choose a template for your email, and draft up your message

  4. Click the Save & Continue button to save your settings

  5. If you'd like for these messages to only go out to new clients who book with you, check the box beside Only send thank you emails to new clients


πŸ• Time to Book Emails

These messages go out on a set weekly interval that you chooseβ€”it's a great way to remind clients to book regularly.

  • Time to Book Emails are sent every Sunday at 1 a.m. MST based on the timeframe set.

  • Push notifications are sent at 8 a.m. MST the same day.

  • These go out to clients if they haven't booked in the time frame you've selected.

*For example, if your time-frame is 4 weeks, clients who haven't booked in 5 weeks, will not receive the message (as they would have received the message the week before). If they already have an appointment, they won't receive the message.

To set up:

  1. From, Marketing click on Email Marketing

  2. Click the Time to Book tab -> click on the Message Settings button

  3. Choose a template for your email, and draft your message

  4. Choose the interval you'd like the messages to send

  5. Click the Save & Continue button to save your settings

  6. If you'd like clients with the client app to get push notifications when the message goes out, check the box Use Schedulicity App Notifications


πŸ‘‹ Re-engagement emails

These messages send to active clients that haven't booked for 6 months. You can encourage them to schedule by including a discount.

  • Clients have up to two weeks to use the re-engagement discount, and they can book up to a full year out.

  • Re-engagement Emails are sent the 1st of the month, at 1 a.m. MST.

  • Push notifications are sent at 8 a.m. MST the same day.

*For example, if a client hasn't booked with you in 7 months, they would not receive the message (as they would have received the message the month before). If they already have an appointment, they won't receive the message.

To set up:

  1. From, Marketing click on Email Marketing

  2. Click the Re-engagement tab -> click Message Settings button

  3. Choose a template for your email, and draft your message

  4. If you'd like, offer clients a discount to book again, use Discount Type and Discount Amount to set the discount

  5. Click Save & Continue

  6. If you'd like clients with the client app to get push notifications, check Use Schedulicity App Notifications

How do I turn off or edit Automated Emails?

  1. From, Marketing click on Email Marketing

  2. Select the Birthday, Thank You, Time to Book, or Re-engagement tab

  3. Select Pause to stop Automated Messages

  4. To edit, Select Message Settings -> Save


How do I invite my clients to opt in?

If your not seeing emails going out to your entire list, you can get clients opted in through these steps.
